Read the numbers as a funnel. About a third of support profiles (33%) have finished the internet, English and typing checks, so a filter on scores takes you from 15,596 names to 5,226 before you set a single threshold. That shorter list is the one worth reading closely. Candidates outside it may well be good, but you would be judging them on a CV alone.

The pool median English score of 73% sits in the band the app labels C1, which suits most written support. The median typing speed of 31 WPM does not suit a busy chat queue, which is why the table below asks more of chat agents than of email agents.

Which skill checks matter for chat, email and phone support?

Match the check to the channel. Typing speed decides live chat, the English band decides email and tickets, and the voice sample decides phone. Candidates can complete up to four checks (internet speed, English, typing speed and a recorded voice sample), the scores show on their profiles, and you choose the floor.

Why chat needs the typing floor. A 40-word chat reply takes about 60 seconds to type at 40 WPM and about 109 seconds at 22 WPM, where the slowest quarter of test takers top out. Saved replies close some of that gap, but only for questions you predicted. Every other reply is typed live while a customer watches the dots.

Why phone needs your ears. A written multiple-choice test says nothing about accent clarity, pace or warmth, and only about 15% of profiles carry a voice sample. Use the English band to shorten the list, then listen to every sample on it. For calls over the internet, look at upload as well as download speed; the pool median upload is 42.1 Mbps.

Applicants who took the checks show their scores on their profile. On paid plans you can also search the talent pool by these scores and add knockout questions to your application form, so the floors do the first sort for you.

The work

What does a customer service virtual assistant do?

A support VA owns the conversations your customers start and the small fixes those conversations need. These are the tasks employers hand over most often, in roughly the order they get delegated.

  • Live chat on your site or app

    Answer pre-sale and "where is my order" questions in real time, tag each conversation by reason, and send buyers who are ready to purchase the right product link.

  • Email and help desk tickets

    Work the queue by priority or oldest first, merge duplicates, and close each ticket with a reply that answers the question the customer actually asked.

  • Refunds, returns and exchanges

    Issue refunds and return labels inside a limit you set, such as a dollar amount per order, and escalate anything above it with a one-line summary.

  • Order lookups and shipping problems

    Find the order, read the tracking, open carrier claims for lost parcels, and update the customer before they have to ask a second time.

What the outsourcing premium buys. At full time, the gap between a direct hire at the median rate and the low end of the published outsourcing range is about $520 a month. That money pays someone else to recruit, schedule, supervise and replace the agent. If you have an hour a day for training in the first weeks, you can keep it; if you do not, the premium can be worth paying.

When a shared chat plan is cheaper. On the largest shared plan above, a chat costs $3.00. A full-time direct hire at the median rate costs the same as about 289 chats a month on that plan. Below that volume, and when you only need website chat answered, shared agents cost less. Above it, or once refunds, email and order edits are part of the job, one dedicated person usually wins.

Asking rates bunch on the shortcut amounts the signup screen offers, which is why the median and the 75th percentile are both $5. Budget above the median for night shifts, phone work, or someone who already knows your help desk.

How many people does 24/7 customer support take?

About five for one seat. Round-the-clock cover means someone is on shift for all 168 hours of the week (24 × 7). Divide by a 40-hour week and you get 4.2 full-time people on paper. Allow about 15% for leave, sick days, public holidays and shift handovers, and each person covers roughly 34 hours, so 168 ÷ 34 lands at 4.9, call it five.

One seat means one conversation queue staffed at every hour. If volume spikes at lunchtime or after a marketing email, add a part-timer for that window rather than a whole extra rotation.

Time zones can do some of the work. A candidate on an ordinary day shift in Manila (UTC+8) is awake during the US night, so a US business can get overnight cover without anyone working nights; see Filipino virtual assistants. Should you outsource customer service or hire a virtual assistant?

Outsource to a contact center when you need guaranteed round-the-clock cover, contractual response times and a supervisor who is not you. Hire a virtual assistant directly when one or two people can cover your hours and you want them to learn your products, tools and customers in depth.

  1. Step 1: Describe the queue, not just the job title

    List the channels, your help desk, how many conversations arrive each week, the shift in your own time zone and the hourly rate. First-week onboarding checklist for a support VA

Hand over access and responsibility in small steps. Each day adds one thing, and nothing goes live until you have seen them do it under supervision.

  • Before day 1: access

    Create their own help desk seat (never a shared login), add them to your password manager, switch on two-factor sign-in, and write down the refund limit.

  • Day 1: read, do not reply

    Walk through your top ten contact reasons, the refund and returns policy, and the tone you want. They read 50 closed tickets and list their questions.

  • Day 2: drafts only

    They draft replies to live tickets as internal notes. You approve or edit each one and explain every edit in a line.

  • Day 3: one channel live

    Email or chat goes live for the simple ticket types, such as order status and address changes, with spot checks every few hours.

  • Day 4: refunds within the limit

Security

Give access, not the keys: permissions for a support VA

A support VA has to act on orders and accounts, which makes access the biggest risk in the hire. Set it up so that any mistake stays small and every action can be traced to a person.

  • One seat per person. Help desks record actions by agent seat; a shared login hides who did what.
  • The agent role, not admin. In your store, add them as staff with only the order and customer permissions they need.
  • A written refund limit. A dollar amount per order and per day, and a rule for anything above it.
